HOW TO: Transfer to UC Merced from another UC Campus - Without Break in Service, or to Another UC

 

Summary: Important points to consider if you are a University of California employee transferring to UC Merced from another UC campus without a break in service.   These transfer options are not applicable to employees of Los Alamos, Lawrence Berkeley, and Lawrence Livermore National Laboratories.

Period of Initial Eligibility (PIE)

  • If you transfer from one University of California location to another you do not have a new PIE. However, it is recommended that you enroll in your benefits within the first thirty-one (31) days of employment.
  • As a transferring employee you must enroll in the same plans you were enrolled in at your previous location and provide documentation of your prior enrollments i.e., pay stub or benefit summary from your previous employer.

Health and Welfare Benefits

HMO Plans (excluding Kaiser Permanente) require a Primary Care Physician (PCP) within 35 mile radius from home address or address recorded in UC Payroll Personnel System.

Transfer of service credit, sick leave, and vacation

  1. To ensure accurate transfer of service credit, sick leave, and vacation hours, you must complete the top half of the Service Credit / Prior Service form while the previous UC Campus completes the lower half of form.
  2. Request a Separation IDOC and Benefits IDOC from Payroll.  This will show salary information, accrued balances, benefit enrollments, and bargaining unit information if applicable.
  3. Submit completed form to UC Merced Payroll Department. Contact UC Merced Benefits or call (209) 228-8247 with questions about the transfer of employee service credit, sick leave, and/or vacation hours.
  4. If transferring with a no break in service or a break less than 120 days you will be required to enroll in the same benefits you had while at UC Merced, give your IDOCs to new payroll department to load your service credit and accrual balances.
  5. If transferring with a break of more than 120 days you have a new Period of Initial Eligibility (PIE) and can enroll in all new benefits.  Request the new UC send a Verification of Previous Employment to benefits@ucmerced.edu or fax to (866) 981-7732 for completion.

Transferring from Another UC

  1. When filling out new hire paperwork, make payroll aware you are transferring from another UC.
  2. Contact UC Merced Benefits or call (209-228-8247) so we can verify with the previous UC what benefit enrollments you had (if transferring with less than 120 day break).
  3. Request a Verification of Previous employment to send to your previous UC from benefits@ucmerced.edu to get credit for your months of service and any applicable accrual balances.

University of California Retirement Plan (UCRP)

  • If you transfer to an eligible appointment you will continue to accrue retirement service credit based upon the percentage of time of your new appointment.

403(b), 457(b), DCP accounts

  • Maintain accuracy and ensure continued participation in these accounts by contacting Fidelity Retirement Services at (866) 682-7787, to make sure your account is listed with the correct campus and that your contributions continue.

403(b) loans

  • Loan payments automatically move with you to your new campus.
  • You should contact Fidelity Retirement Services, (866) 682-7787, to make sure these payments transfer correctly and/or re-establish payments.  

Updated enrollments

  • You should check your next few pay stubs and your account at the At Your Service website to ensure all enrollments have been updated.
  • If you find any discrepancies please contact the HR Benefits Representative immediately.
