HOW TO RECRUIT STAFF
A step-by-step guide to initiating a new staff recruitment at UC Merced

Step 1
Initiate the recruitment process
|
o Determine if there is a vacancy to be filled.
o Determine whether to recall, recruit, restructure or re-organize.
o Determine the appointment type – career, limited, or contract.
o Obtain appropriate funding (if necessary).

Step 2
Determine if this is a replacement or a new position
|
1. If it is a new position, proceed to Step 3 (Create a set of criteria...).
2. For a replacement: review the existing job description and identify changes. Ensure all appropriate updates have been made to the job description.
a. If changes are made, complete Position Review Request form and submit to Compensation for review.
b. If no changes are made, proceed to Step 4 (Request to Recruit)

Step 3
Create a set of criteria for the position
|
1. Perform a thorough job analysis by determining the duties, responsibilities and specifications needed. Specify the required skills, knowledge and abilities (SKAs) for the position.
2. From the SKAs develop your selection criteria.
3. Complete a job description or update the current one.
4. Complete Position Review Request form and submit it to Compensation along with the job description and current organizational chart.
5. Upon approval of the classification, Compensation will forward the classified job description to Staff Employment Services.

Step 4
Request to recruit
|
1. Determine recruitment plan/strategy for your particular position. This includes planning your advertisement including your diversity plan.
a. Position should be posted for a minimum:
i. PSS positions minimum 2 weeks
ii. MSP positions minimum 3 weeks
iii. SMG positions minimum 4 weeks
2. Establish an interview committee and timeline for your process.
3. Complete a Recruitment Request Form (RRF), current job description and organizational chart and submit to Staff Employment Services.
4. If you wish to use a search firm for your recruitment, please consult Staff Employment Services for a list of UC approved firms.
NOTE: job announcements are based on information provided on recruitment request form and job description. Upon finalization of job announcement, ads are placed as indicated on RRF.
